Who is responsible

Lyme Green Community Hall CIO, registered charity number 1212589, is responsible for personal information received through contact about this project. Privacy enquiries can be sent to contact@lymegreen.org.uk.

Newsletter updates

If you sign up, Lyme Green Community Hall CIO uses your email address to send news about the community hall project, events, fundraising and ways to get involved. Our lawful basis for sending these emails is your consent under Article 6(1)(a) of the UK GDPR. Signing up is optional and is not a condition of contacting or supporting us.

We ask you to confirm your subscription by email before adding you to the newsletter mailing list. We keep your email address, subscription status and relevant signup, confirmation and preference records so we can manage your subscription and record your choices. Any name you choose to provide may also be stored. Our newsletter system is not configured to record your IP address as part of the opt-in record; normal web-server security logs may still contain technical information.

You can withdraw consent at any time using the unsubscribe link in a newsletter, manage your preferences through the newsletter service, or email contact@lymegreen.org.uk. Withdrawing consent stops future newsletter mailings and does not affect the lawfulness of processing before you withdrew it.

How newsletter emails are delivered

We manage subscriptions using Listmonk, software hosted on our server at updates.lymegreen.org.uk. Listmonk is not a separate mailing-list provider receiving a copy of our subscriber database. We use Brevo to deliver confirmation emails and newsletters. Brevo processes recipients’ email addresses, email content and technical delivery information on our behalf, including information needed to deliver messages, handle delivery failures and protect against abuse.

Brevo states that its database hosting is in the European Union. Its service providers and international-processing arrangements are described in its privacy policy and data-processing terms. You can contact us for information about the safeguards relevant to your information. We do not sell subscriber details or share them for another organisation’s marketing.

Newsletter measurement

Our current branded newsletter template does not contain Listmonk open-tracking pixels or tracked links. Individual subscriber tracking is disabled in Listmonk. Delivery and security information may still be processed by our hosting service, Brevo and your email provider; loading email images or following links also creates ordinary technical requests. This is separate from visitor analytics on the public website. If we introduce newsletter engagement tracking, we will update this notice and obtain any consent required before using it.

How long we keep newsletter information

We keep the information needed to send the newsletter while you remain subscribed and the newsletter service continues. If you unsubscribe, we stop sending newsletters. Unsubscribing does not automatically erase your subscription record: we retain the minimum email address and preference information needed to honour your opt-out for as long as we operate the mailing list and need to prevent unwanted contact. We use that limited record to comply with your request, not to send marketing.

Signup and consent records are kept only for as long as needed to demonstrate your choices or resolve a relevant complaint or legal obligation. Our legitimate interest in demonstrating how we handled a subscription supports keeping necessary evidence; records needed to meet a legal obligation are kept on that basis. Records that are no longer necessary should be deleted or anonymised. You can ask us to delete your personal information, although we may need to retain a minimal opt-out record or information required by law. Our general information rights and complaints details are below.

What this website collects

This website runs on WordPress. The public project pages do not use advertising or visitor analytics. WordPress uses cookies for administrator sign-in and security. Your privacy choice is stored on your device under lg_privacy_v1 for up to 180 days.

The optional OpenStreetMap embed is blocked until you allow external media. You can change that choice using the Privacy settings button. Donations currently open JustGiving; this website does not collect payment card details.

The hosting service processes technical information needed to deliver and secure the site, such as an IP address, browser type, requested page and time of access.

When you contact us

If you email us, we receive the information you choose to provide. This will normally include your name, email address, message and any details relevant to your enquiry, suggestion, donation, volunteering interest or offer of business support.

We use that information to:

  • respond to your message;
  • manage offers of help, volunteering or professional support;
  • keep an appropriate record of project correspondence; and
  • meet legal, financial or charity-governance obligations where they apply.

Our legal basis will normally be our legitimate interest in communicating with residents and delivering the charity’s purposes. Where you ask us to take a specific step, we also use the information to deal with that request. We will ask for consent where the law requires it.

Who receives your information

Information is only available to trustees, authorised volunteers or service providers who need it for the purpose described above. We do not sell personal information or provide it to other organisations for their marketing.

We may disclose information where required by law, to protect someone’s safety, or to obtain professional advice. Email and website suppliers process limited information on our behalf under their own security and data-protection arrangements.

How long we keep it

Routine enquiries are kept only while they are being dealt with and for a reasonable period afterwards. Records connected with donations, agreements, governance or legal obligations may need to be retained for longer. Information that is no longer required is deleted or securely disposed of.

External services and map

Buttons and links to JustGiving and Facebook open those organisations’ websites. They control the information collected there under their own privacy and cookie notices. Their tracking tools are not embedded in this website.

The location map on the plans page is supplied by OpenStreetMap. It is loaded only after you allow external media in the privacy settings. OpenStreetMap will receive technical information needed to provide the map, which may include your IP address and browser details. See the OpenStreetMap Foundation privacy policy.

Your rights

Depending on the circumstances, you can ask us to:

  • provide a copy of your personal information;
  • correct information that is wrong or incomplete;
  • delete information we no longer need;
  • restrict or object to how information is used; or
  • withdraw consent where consent is the basis for its use.

Contact contact@lymegreen.org.uk to make a request. We may need to confirm your identity before responding.

Complaints

Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.

Changes to this notice

We will update this page when our services or the way we handle personal information changes.
